How do workplace policies work for my team?

Policies are rules you set per team under Team → Policies on the website. Each policy caps one thing, such as coworking hours per week or conference room spend per month, or limits where people can work, and you choose whether a member who goes over is warned, blocked or has to ask for approval. Policies is switched on per account: if the page shows “Take control of your workspace program”, contact the account manager listed there.

How to create a policy

  1. Make sure your teams exist under Team → Organization. A policy attaches to one team.

  2. Open Team → Policies and click + Policy on the team’s card.

  3. Team: confirm the team.

  4. Policy: pick Coworking, Conference Room, Private Office or Location.

  5. Rule: complete the sentence, for example “Maximum 40 coworking hours per week”. For Location, choose Permitted or Restricted, click the map to set the center and drag the radius.

  6. Enforce: choose Warn, Block or Require Approval, then click Create.

Good to know

  • Coworking policies cap coworking hours, coworking spend, guest hours or guest spend per day, week or month. Conference Room and Private Office policies cap spend per period. Location policies permit or restrict spaces within a radius of a point.

  • A day is the calendar day, a week runs Monday to Sunday and a month is the calendar month. The policy card shows “Resets” with the next reset date.

  • Warn shows the member a notice and lets them continue. Block stops the action; the member sees “This space is restricted by your company policy” or “Booking restricted”. Require Approval makes the member request access first.

  • Each policy card shows how many members are within the limit, for example 7/8. Click it to see who went over, when and where.

  • The three-dots menu on a policy offers Edit policy, Duplicate to team and Delete policy. Deleting a team deletes its policies.
