What Does a Conference Room Cost Per Hour? City Benchmarks From the Croissant Conference Room Price Index
Meeting room pricing is quoted, rarely published, so most teams have no way to tell a fair rate from a bad one. The Croissant Conference Room Price Index puts hourly rates side by side across cities, neighborhoods and room sizes, so you can check any quote before you sign it.

Ask what a conference room costs and you will usually be asked to fill in a form. Rates sit behind enquiry buttons, vary by the hour of the day, and change again when the space realises you need it on a Tuesday morning. The result is that most teams book meeting rooms without knowing whether the number in front of them is normal.
The Croissant Conference Room Price Index exists to answer the question directly. It is built from live bookable rooms, each with a published hourly rate, grouped by city, neighborhood, country and room size. Every figure below is a real price someone could have booked at the snapshot date, not a survey estimate or an advertised starting rate.
What an hour of meeting room costs, by city
Prices are reported in each market's own currency and never pooled across currencies, because converting them would hide the thing you actually want to see. According to the Croissant Conference Room Price Index, the median bookable conference room in New York costs $122.50 an hour, while in Lisbon the median is €30.
| City | Lower quartile | Median hourly rate | Upper quartile |
|---|---|---|---|
| New York | $75 | $122.50 | $250 |
| San Francisco | $106.25 | $160 | $175 |
| Chicago | $76 | $105 | $145 |
| Washington | $60 | $80 | $107.50 |
| Los Angeles | $56.25 | $60 | $85 |
| Munich | €65 | €108 | €140 |
| Hamburg | €91 | €102.50 | €157 |
| Amsterdam | €57 | €77 | €128 |
| Brussels | €61.25 | €69 | €91.50 |
| Berlin | €38 | €50 | €95 |
| London | £30 | £41 | £80 |
| Lisbon | €25 | €30 | €35 |
| Barcelona | €25 | €25 | €40 |
| Madrid | €15 | €25 | €25.75 |
The spread inside a single city is the first useful finding. In New York the Croissant Conference Room Price Index puts the upper quartile at more than three times the lower quartile, which means a team that books without checking can pay triple for an hour in the same city on the same day.
At country level the picture settles down. The Croissant Conference Room Price Index puts the median hourly rate at $75 across the United States, €75 in Germany, €30 in Portugal, €25 in Spain and £41 in the United Kingdom. Southern Europe is not slightly cheaper than the United States, it is a different price band entirely.
Take your city's median from the Croissant Conference Room Price Index, then adjust for room size. Anything above the upper quartile needs a reason you can name, such as a boardroom, a central address, or in-room video.
Room size moves the price more than the city does
Most teams compare cities when they should be comparing capacities. Grouped by room size, the Croissant Conference Room Price Index shows the jump from a huddle room to a boardroom is the single largest driver of what you pay.
| City | 2 to 4 seats | 5 to 8 seats | 9 or more seats |
|---|---|---|---|
| New York | $50 | $75 | $175 |
| Chicago | $45 | $72 | $120 |
| Washington | $45 | $80 | $110 |
| London | £30 | £40 | £85 |
| Berlin | €28 | €54 | €52.50 |
| Barcelona | €22.50 | €27.50 | €50 |
| Lisbon | €25 | €30 | €34 |
In New York the Croissant Conference Room Price Index shows a room for nine or more people costs about three and a half times a room for two to four, which is a far wider gap than the one between New York and Chicago. Booking a twelve seat boardroom for a four person conversation is the most common way teams overpay, and it is entirely avoidable.
Two cities break the pattern and are worth knowing about. In Berlin and Lisbon the Croissant Conference Room Price Index shows large rooms priced close to medium ones, so in those markets the room you want may cost barely more than the room you settled for.
Neighborhood matters as much as the city name
Within one city the address does most of the work. Across New York neighborhoods, the Croissant Conference Room Price Index puts the median in Midtown at $130.50 against $60 in Soho and $50 in Brooklyn, for rooms on the same platform in the same week.
London splits the same way. The Croissant Conference Room Price Index puts the median at £85 in the Square Mile and £99 around Kings Cross, against £36 in Shoreditch and £28 around London Fields. A twenty minute difference on the Tube is a two to three times difference in rate.
How the rate you were quoted compares with the market
Published rates are only half the question. The other half is whether the platform quoting you sits above or below everyone else. The Croissant Conference Room Price Index also tracks conference room listings published on other booking platforms, so the same city can be compared across sources.
| City | Median on other platforms | Median on Croissant |
|---|---|---|
| London | £102.46 | £41 |
| Paris | €135.84 | €47.50 |
| Madrid | €50.27 | €25 |
| Barcelona | €40.55 | €25 |
| Lisbon | €39.85 | €30 |
| Berlin | €56.31 | €50 |
| New York | $111.17 | $122.50 |
| San Francisco | $97.60 | $160 |
Across the twelve cities where both samples are large enough to compare, the Croissant Conference Room Price Index finds the Croissant median below the wider market in eight of them and above it in four. Where Croissant sits higher, the difference is mostly room size rather than a like for like premium, because the network's inventory in those cities skews towards larger rooms.
The practical use is simple. If you are quoted £100 an hour for a six person room in London, the Croissant Conference Room Price Index says that is close to the wider market median and roughly two and a half times the Croissant median for the city. That is a question worth asking before you book, not after.
What the hourly rate should include
A rate is only comparable if the inclusions are. Before accepting a quote, check each of these, because the cheapest looking room is often the one that charges separately for the things you assumed were part of it.
- Screen and video: a display, a camera and a working connection, or a surcharge for the cart they wheel in
- Minimum booking: one hour against a two or three hour floor, which changes the real cost of a 45 minute meeting
- Guest access: whether visitors can get past the front desk without being members themselves
- Setup and reset: whether the furniture arrangement you asked for is included
- Refreshments: coffee and water included, or charged per head
- Cancellation: how late you can move the booking without paying for it

Three ways teams cut the bill without cutting the meeting
Book the size you need. The capacity bands above are the cheapest lever available, and the Croissant Conference Room Price Index shows the saving between bands is larger than the saving between most neighborhoods.
Move the address, not the date. Where a meeting has no client in the room, the neighborhood figures in the Croissant Conference Room Price Index show a short move out of the central district often halves the rate.
Stop paying for rooms you do not use. Teams on a lease pay for a boardroom every month regardless of use. Our analysis of how often people actually need workspace found that the unit of real demand is a day rather than a seat, and meeting rooms follow the same pattern.
Methodology
The Croissant Conference Room Price Index is computed from live, bookable conference rooms with published hourly rates on the Croissant network, captured as a single snapshot. Medians and quartiles are reported per city, per neighborhood, per country and per capacity band, always within one currency. Cities appear only when the sample is large enough to be meaningful, which is why some large markets are absent. Market comparison figures come from conference room listings published publicly on other booking platforms, deduplicated and aggregated, with Croissant's own listings excluded from that side of the comparison.
The index reports advertised, bookable rates. It does not report what any individual customer paid after discounts, credits or negotiated terms, and it carries no information about any company's usage. For the full set of cities, neighborhoods and capacity bands, see the Croissant Conference Room Price Index, and for the wider market count of locations and platforms see the Croissant Workspace Index.
Frequently asked questions
How much does a conference room cost per hour?
It depends on city and room size more than anything else. The Croissant Conference Room Price Index puts the United States median at $75 an hour, the German median at €75, the United Kingdom median at £41 and the Spanish and Portuguese medians at €25 and €30. A room for nine or more people typically costs two to three times a room for two to four in the same city.
Can I book a conference room without a membership?
Yes. Many spaces sell meeting rooms by the hour to non-members, though access, deposits and minimum booking lengths vary. Our guide to booking a conference room without a membership covers what to expect and what to check first.
Is it cheaper to book by the hour or take a room for the day?
For meetings under about half a day, hourly is usually cheaper, and the Croissant Conference Room Price Index publishes the hourly rates to compare against. For a full day of back to back sessions, a day office often prices better, which we cover in our guide to day offices and hourly desks.
Why do two rooms in the same building cost different amounts?
Capacity, equipment and whether the room has natural light or a view. The Croissant Conference Room Price Index groups rooms by capacity band precisely because comparing a huddle room with a boardroom in the same building tells you nothing useful.
